Universe Access
Each universe in InfoView is handled separately, meaning that a user can have different access for each data-set based on their needs.
Access Level has two parts:
Data Access Level describes what fields (columns and rows) each user can see in the universe.
- General (Default)
- Central
- Restricted
- Unit-Specific
Functional Access Level describes the actions that a user can take with reports based on the universe data.
Functional Access Levels can have any Data Access Level, excepting “Limited” access, which always has the most restricted data access possible.
Data Access
Access Levels
There are four kinds of data access level:
- General (Default)
- Central
- Restricted
- Unit-Specific
General (Default)
General Data Access includes all data that would be of general relevance to everyone using that universe. General Data Access is the default status for all data fields, unless otherwise stated.
Central
Central Data Access includes all data in General Data Access, but with additional fields that are useful in central offices.
Example: Access to certain financial transaction rows is restricted to the budget office for audit purposes.
Restricted
Restricted Data Access includes all data in General or Central access, but with additional fields that are of particular data privacy or data security sensitivity.
Example: The social security numbers column is restricted in the PPS (Payroll Personnel System) Universe to Staff Human Resources and Academic Personnel Office employees only.
Unit-Specific
Unit Specific Access is granted when particular units have a business need to see certain fields at the central or restricted level, but it would not be appropriate to grant them access to all of the central or restricted fields.
Example: The Disability Resource Center can view certain sensitive information about individual students relating to disability status and requests, but cannot see other pieces of sensitive information such as visa status or social security number.
Functional Access
Universe Access Levels
The Universe Access Level describes the actions that a user can take with reports based on the universe data.
There are three different kinds of universe access level:
Limited
Limited Access grants reading-access only to reports that the user has received from someone else. Limited access is granted when a user should only have access to a very particular subset of the data.
A Limited user has no independent ability to access the universe, but instead relies on other people to send or share reports via InfoView Inbox or shared folders. Limited users do not have access to any centrally managed reports (Corporate Reports).
Limited users can:
- Refresh shared reports
- Fill out prompts in accessible reports
- Shape the data in accessible reports
- Save copies of accessible reports
Limited users cannot:
- Access (most) Corporate Reports*
- Send reports to others
- Change prompts, columns or rows in existing reports
- Write their own reports from scratch
*Access to Corporate Reports is universe specific. Limited users usually cannot see any Corporate Reports, but occasionally one or two are accessible.
Read-Only
Read-Only Access, sometimes also known as “View-Only” access, allows the user to refresh reports that have been shared or are centrally managed as Corporate Reports. This is the most common type of access.
The most important difference to Read-Only access is that the user will have broad access to the data in any universe with Corporate Reports.

Read-Only users can:

- Shape the data in accessible reports
- Save copies of accessible reports
- Access Corporate Reports
Read-Only users cannot:
- Send reports to others
- Change prompts, columns or rows in existing reports
- Write their own reports from scratch
Report-Writer
Writing Access allows users to create their own reports and thoroughly manipulate existing reports.
Differences to Read-Only are bolded.
Writing users can:
- Refresh shared reports
- Fill out prompts in accessible reports
- Shape the data in accessible reports
- Save copies of accessible reports
- Access Corporate Reports
- Send reports to others
- Change prompts, columns or rows in existing reports
- Write their own reports from scratch
